We are seeking a motivated and organized Administrative Assistant to support our office and executive team. This individual will perform a variety of administrative tasks, ensuring smooth operations and providing essential support to our Executive team. The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to handle multiple tasks efficiently.
Key Responsibilities:
- Manage and schedule appointments, meetings, and travel arrangements for executives.
- Answer and direct phone calls, emails, and other correspondence in a professional manner.
- Maintain and update office records, filing systems, and databases.
- Receive and direct incoming calls.
- Prepare and edit documents, presentations, and reports as needed.
- Organize office supplies and ensure the office environment is well-maintained.
- Handle incoming and outgoing mail, packages, and deliveries.
- Assist with trade show/event planning, coordination, and other office activities.
- Perform general office tasks, including data entry, photocopying, and faxing.
- Assist in the preparation of meetings and take meeting notes when required.
Qualifications:
- 1+ years Administrative Assistant experience in an office setting.
- Reception and gate-keeping experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
- Strong organizational and multitasking skills with attention to detail.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and manage sensitive information.
- Ability to work independently and as part of a team.
Preferred Skills:
- Familiar with a CRM (preferably Repfabric and/or ERP)
- Experience with office management systems and tools (e.g., project management software, calendar management tools).
- Familiarity with social media platforms for business use.
